Description:The position of Assistant Manager – Patent Administration acts as a team leader for Patent Specialists (or Patent Associates), Filing Clerk, and other patent administration staff (not including Department administrators) in the Intellectual Property Department (“IPD”). The Associate Manager - Patent Administration is responsible for supporting development and overseeing execution of Department patent legal administrative policies. The Associate Manager - Patent Administration also is responsible for overall management of patent legal administrative functions in IPD, including management of NNI-IPD docketing, case management, and data management processes. The Associate Manager - Patent Administration further provides direct management and oversight of patent submissions. The Associate Manager - Patent Administration additionally provides a high level of service and oversight with respect to the technical aspects of docketing, submission, and archiving information technology systems and software.RELATIONSHIPS: The Associate Manager - Patent Administration reports to an attorney responsible for oversight of patent legal administrative functions in the Department. In addition to directly managing patent administration staff, the Associate Manager - Patent Administration is responsible for establishing and maintaining relationships with stakeholders in __________Corporate Patents (Denmark); acting as a supportive or lead liaison with the US Patent and Trademark Office and other governmental patent authorities (e.g., the World Intellectual Property Organization (WIPO)); coordinating activities with the rest of the __________ Inc. Legal-Government Affairs-Quality Department; and ensuring substantive legal administrative support of attorneys in the Department. The Associate Manager - Patent Administration also will interact with and manage outside and foreign agents as part of the globalization of the Department’s patent activities. ESSENTIAL FUNCTIONS: n Management of patent administration staff · Conducting regular one-on-one and/or group meetings with patent legal administration staff to manage patent filing, prosecution, and maintenance processes and related projects, including supporting Departmental quality and new function initiatives; auditing performance to ensure compliance with goals and procedures · Managing workloads and ensuring priority projects are attended to by management of staff resources n Oversight and regulation of data management · Entering and overseeing high level docketing information to Department docketing database(s) · Ensuring quality of Patent Specialist (or Patent Associate) docketing entries and due date removal in docketing database(s) · Coordinating with Corporate Patents ( Denmark ) concerning use and status of docketing database n Oversight of case management and document archiving processes · Managing document management in patent document databases · Managing patent file wrappers and other patent files n Overseeing patent submissions · Developing, implementing, and regularly updating quality check procedures for patent submissions and related processes n Overseeing communications and relationships with patent authorities, agents, and key stakeholders (inventors and managers in affiliates) n Providing functional technical assistance to members of the Department concerning software and systems used for patent submissions, docketing, archiving, and data management n Monitoring changes in patent authority regulations and routinely adjusting procedures to adapt thereto; providing training to patent legal administration staff or all of IPD regarding such changes KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS · At least high school graduate or equivalent · At least 5 years experience as a patent paralegal or patent secretary with significant docketing experience; preferably with at least one year experience in management/team leadership and recent experience in international patent prosecution and electronic filing with the US Patent and Trademark Office · Highly proficient at and/or demonstrated capacity to efficiently and effectively master software systems, databases, and related tools · Excellent project management, organization, and communication skills KEY SUCCESS FACTORS: COMPETENCIES Lives the Values Promotes and fosters the ___________and Way of Management in all business activities.
