The Opportunity

The ACLU of Northern California (ACLU NorCal) seeks a Supervising Paralegal that will manage the litigation support work of the Legal-Policy Department. This position will supervise a group of litigation and legal-policy assistants (or other legal support professionals) on the Departments Legal-Policy Professional Staff. The Senior Paralegal will report directly to the Department Manager.

The Position

The Supervising Paralegal will manage a range of diverse litigation projects, in both state and federal court, at all stages of litigation, from initial pleadings to appeals. The work of the Supervising Paralegal will also involve coordination and implementation of Department-wide e-discovery solutions and systems and software improvements. The Supervising Paralegal will also work closely with the Department Manager and Department Administrative Assistant to improve systems for the organization of paper and electronic case files and other litigation-related systems and protocols.

The Supervising Paralegal will directly supervise litigation and legal-policy assistants (or other legal support professionals) on the Departments Legal-Policy Professional Staff. The Supervising Paralegal will manage assistants work assignments, provide guidance and feedback on their work product, and develop holistic litigation training curricula.

Duties & Responsibilities

Supervision, Management & Training

Effectively supervise, review and evaluate litigation and legal-policy assistants (or other legal support professionals), using tools such as 1:1 check-ins, delegation memos, and providing a detailed review of and feedback on assistants work product.
Develop and implement holistic onboarding and ongoing litigation training curricula;
Effectively coordinate with program directors, attorneys, and other department staff whose work intersects with litigation and legal-policy assistants projects and assignments.
Provide support and guidance for litigation and legal-policy assistants professional development goals.
Hire and supervise staff, as needed, in order to meet the operational demands of the Department.
Administer performance management and disciplinary actions; recommend personnel actions as needed.
Provide regular feedback to staff, including corrective feedback when needed, to help staff build on strengths, grow, or improve performance.
Support staff in resolving interpersonal conflicts with colleagues, including identifying and escalating issues to HR when needed.
Delegate responsibilities and identify opportunities for staff to absorb new responsibilities; and
Provide mentorship to staff to assist in their growth and professional development.
Coordination of Department-Wide Systems & Software Improvements

Coordinate with case teams on implementation and application of e-discovery strategies.
Identify opportunities and implement solutions for improved use of systems and software to streamline legal assistant workflow across the Department.
Improve systems for tracking of active and potential case matters, including enhancing case management and document management solutions; and
At our three office locations, improve systems for the organization of paper and electronic case files and for preparation of case files to be archived with and retrieved from our off-site storage facility.
Direct Support of Ongoing and Potential Litigation

Serve and file legal pleadings in state and federal courts.
Create and generate Table of Contents and Table of Authorities in legal briefs.
Proof, format, and/or cite check legal briefs and pleadings.
Assist with fact development of cases and discovery, including eDiscovery projects and the organization, collection, review, and production of documents obtained from clients and opposing parties.
Monitor relevant deadlines, calculate court deadlines, and update case calendars; and
Conduct Westlaw and PACER searches and document retrievals; other internet research.
Administrative Tasks

Facilitate conflicts checks and case opening procedures; and
Prepare expense reports, reconcile credit card statements, mail, and photocopy bulk materials.

Education / Experience:

At least 5 years experience working in a law firm, legal non-profit, or legal services organization, or providing paralegal or other litigation support.
Required Skills / Competencies:

Strong project and time management skills, including the ability to manage and prioritize competing projects and complete assignments under deadlines.
Ability to effectively lead, motivate, and train legal support professionals on legal procedures, software, and systems.
Strong working knowledge of ECF and other filing and service procedures in federal and CA state courts.
Strong working knowledge of Westlaw and PACER.
Ability to cite check using both Blue Book and California styles of citation.
Ability to assist with discovery, including eDiscovery, and the organization, case management, collection, review strategy, and production of documents obtained over the course of litigation.
High level of organization, attention to detail, and follow-through.
Good judgment, dependable, punctual, and able to maintain a high level of confidentiality.
Strong verbal and written communication skills, including strong interpersonal skills.
Commitment to pursuing public interest advocacy work, particularly in the ACLU NorCals six core Program Areas.
Solutions-oriented approach, including the ability to work independently and on a team, and willingness to take initiative while juggling several priorities all with personal enthusiasm, optimism, and a sense of humor.
Experience with the supervision and management of staff; and
Ability to occasionally come into the office early or stay late to effectuate filings.
Preferred Skills / Competencies:

Experience and effectiveness in coordinating and organizing logistics, meetings, employee onboarding, and training; and
Familiarity with conducting database searches in e-discovery databases (e.g., IPRO Eclipse, Relativity, Concordance, etc.) and reviewing documents within these programs for relevance, responsiveness, and privilege; facility with organizing large volumes of data.
Technical Skills:

Strong working knowledge of Microsoft Word, Outlook, Adobe Acrobat, PowerPoint, Excel, and other Office programs, including facility with mail merge, spreadsheets, tables, and charts; and
Familiarity and comfort with e-discovery databases and case management software.
Total Compensation
